Individual is compensated by a salary and may be required to work more than 37 ½ hours in a work week, as the demands and requirements of this position may change and fluctuate. The salary paid for this position is intended to cover all hours worked, including any overtime. The Association Manager will be considered for annual year-end bonus (based on performance and tenure) in addition to annual salary.

COMMUNITY BACKGROUND:

The Potomac Ridge at Lansdowne Woods Condominium Unit Owners Association is one of 6 member associations that comprise Lansdowne Woods of Virginia Community Association, L.L.C. (LWVA), a 55+ active adult community. Potomac Ridge is a 12-story high rise condominium building that is governed by a 5-member Board of Directors. While the Association Manager at Potomac Ridge reports directly to the Potomac Ridge of Directors, he/she is an employee of LWVA. As such, payroll and benefits are administered through LWVA. The Association Manager is expected to follow all policies and procedures as outlined in the LWVA Employee Guidebook.

POSITION SUMMARY:

The Association Manager overseas the daily operation of the Condominium in accordance with the requirements and policies of the Association and its Board of Directors. This includes performing research, compiling reports, resolving complaints and preparing all documents required for operation of the condominium. The Association Manager supervises the onsite staff, consisting of an Assistant Manager, Engineer, and Assistant Engineer.

EDUCATION/EXPERIENCE/SKILL REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each requirement and qualification satisfactorily. The requirements listed below are representative (but not exhaustive) of the knowledge, skill, and/or ability required:

· Familiarity with automated financial reporting systems

· Computer literacy necessary

· Previous CAI coursework required

· Previous experience as Manager of a condominium or building preferred

· Experience in developing requests for information, quotes, and proposals preferred

· Experience in managing contractors in large scale refurbishment and renovation projects in older buildings preferred

· Must be punctual, dependable, and reliable

· Working Knowledge of Yardi Voyager, Building Link

· Professional and pleasant communication and interpersonal skills

· Strong time management skills

· Ability to work both independently and as a team member

· Strong computer skills

· Ability to lift at least twenty (20) pounds

· Ability to bend over and reach the ground and reach above head with arms extended

· Must pass background check and drug screen

APPEARANCE AND PERSONALITY:

· Must project a professional image. Must be pleasant, polite, and courteous at all times.

RELATIONSHIP WITH STAFF:

· Supervises the performance of all on-site staff and makes recommendations for hiring, termination, salary increases, merit raises, and bonuses.

· Responsible for all job assignments, training, and informing and educating staff of all policies and procedures.

· Verifies and prepares all times sheets and authorizes payment of all payroll, vacation, sick leave and holiday pay. Approves requests from employees for time off/vacation.

BUILDING RESPONSIBILITIES:

· Conducts regular inspections of the buildings, garages and surrounding grounds, noting deficiencies and physical appearance of the property and follows up with contractors and staff in resolving all deficiencies noted.

· Prepares requests for proposal, negotiates terms of agreements and administers major contracts such as janitorial services, trash and recycling, and heating and cooling maintenance.

· Monitors contractor’s performance to assure that all specifications are met and that work is completed properly and promptly, including all provisions called for in the terms of the contract.

· Maintains complete and up-to-date contract files on all work performed in the building.

· Authorizes payments for all purchases and contracts.

· Responsible for accurate handling of all liability and property insurance claims involving the Association.

· Authorizes immediate repair on an emergency basis and follows through until the emergency is under control. This includes advising the Board, LWVA General Manager and insurance company of the emergency and what actions were taken.

· Makes recommendations to Board concerning aesthetics or safety concerns.

· Receives and responds to emergency calls as required.

ADMINISTRATIVE RESPONSIBILITIES:

· Communicates with residents as necessary regarding repairs and work to be performed in the building.

· Maintains accurate accounting of petty cash fund.

· Sends accurate and complete information regarding any non-compliance with Association rules or policies.

· Maintains accurate Association files and records.

· Maintains current licenses, permits and notices required by the State and Federal Government

· Supervises the proper organization of all Association meetings and the Annual Meeting, including preparation of reports.

· Prepares all materials for the Annual Meeting and Elections.

· Develops and administers the annual budget, including categories of income, utilities, contracts, repair and maintenance, personnel, professional services, administrative expenses, taxes and insurance, capital expenses, and reserve contributions.

· Maintains positive working relationship with Board of Directors.

· Follows and enforces all policies and procedures promulgated by the Board of Directors.

· Submits a monthly management report to the Board of Directors to confer information of importance to all Board members.

· Promptly reports to the Board President any emergency or material information necessary for him/her to perform his/her duty as President.

· Attends all Board of Directors meetings.

· Attends Committee meetings as required.

RELATIONSHIP WITH OWNERS AND RESIDENTS:

· Assures day-to-day policies, rules and regulations, and procedures are enforced for all residents.

· Treats all residents with respect and courtesy at all times and shows no favoritism.

· Addresses concerns raised by residents.

EXPERIENCE:

A minimum of five (5) years in community management and experience in:

1. Business administration

2. Basic accounting

3. Business operations (general)

4. Mechanical and structural maintenance (knowledge of terms and an exposure to fundamentals of mechanics and construction is an extremely helpful tool in order to work with vendors, construction contractors, service contractors, etc., to deal with authority on their level)

5. Fiscal, budgetary, and purchasing management

6. Personnel/wage and salary administration

7. Sales experience is valuable. Although it is not required, it provides a firm base for a manager in dealing with the wide range of people, both consumer and contractor, whom he/she shall meet.

8. Direct supervisory experience.

9. Oral and written presentation skills and report presentation.

10. Basic data‑processing knowledge.

EDUCATION:

Associates Degree preferred, Business Administration or Bachelor’s Degree a plus. CMCA designation required, AMS designation preferred. PCAM designation a plus.
